September 15th is the deadline for lowest conference registration rate ($300 vs. $350 US Dollars).
BEST to register on this Conference website (see Registration page) to avoid any problems with paying on site with cash or checks (US Dollars). There is an ATM machine for cash (dollars) in the hotel. Regular checks and Travelers checks will only be accepted for the exact amount and the must be payable through a US bank. All checks should be drafted to ‘UFLEF’ for proper handling and clearance for the conference.
October 2nd is the deadline for special room rate ($155/night plus tax US Dollars) at the Sheraton Sand Key Resort Hotel in Clearwater Beach, Florida (See Accommodations page). This rate is available for a few days before and after the TAFT conference dates. BEST to register in advance. This location is very popular and hotel options in the immediate area are difficult to find at a similar rate.
There will be over 115 presentations. Abstracts as originally submitted by the authors will be compiled in a printed program for all attendees. The final program was based on advice from the TAFT Technical Planning Committees that recommended an agenda with balance for oral and poster presentations relative to the number of abstracts and topics submitted per person, program and area.
Oral presentations will be strictly limited to 20 minutes in order to be fair to the other presentations and the audience. The 20 minutes includes the talk and time for questions. The presentations can be emailed in advance to (email@example.com) or loaded on-site from common USB flash drives. The Microsoft Powerpoint files must be available before 8:00AM on the morning of the scheduled presentation.
Posters will be a featured part of the program with a special setting immediately adjacent to the main meeting room. This setting will also house the breaks, displays and a social at the end of each daily proceeding. All posters should be in place by 8:00AM on the scheduled day and remain in place through the daily program until the end of the social at 6:30PM. Posters support will be provided and directions for poster preparation will be provided for all authors that RSVP their attendance. Please reference the Poster listings in the program draft issued Aug 28, 2012. The poster board displays will be 4x8 feet (1.2x2.4 meters). All customary science posters should include a picture of the attending author. The fonts, figures and layout should be large and clear enough for viewing from one meter standing distance.
The full day posting will assure access by all conference participants. The authors are encouraged to accompany the poster with some frequency, especially during breaks and the daily social. Also, in addition to the printed abstracts in the program, the authors are encouraged provide handouts that can be shared with participants with a particular interest. NOTE: The poster and handouts should include a picture of the author(s) and information for contacting the authors. The pictures will help identify the authors attending the conference. Conference attendance may reach 150. The conference will print the handouts if the authors submit them to Zina Williams before October 18th (firstname.lastname@example.org )
The best airport for meeting access is Tampa, Florida (TPA; http://www.tampaairport.com ). The drive from the airport to the meeting is best by routine taxi ($50-55 US Dollars one way). Taxi driving time is about 30 to 40 minutes depending on the traffic hour through some older, congested parts of town leading to the beach. For participants that RSVP with airline and arrival times in Tampa, the University of Florida will try to coordinate some complimentary shuttle service.
All major car rental services are available at the Tampa Airport, but the AVIS car rental is the only location for convenient returns at the beach. Groups could consider renting a car for the easy, direct drive to the beach where they could return the car.
Airport options include Orlando or Miami, but the required travel time by car could be over 3 hours or 5 hours, respectfully. These locations are only recommended if travelers want to vacation (Orlando Disney World, etc…) or visit other sites and friends.
All conference activities will occur at the Sheraton Sand Key Resort Hotel. The featured event daily will be Sunset Ceremonies (6:45PM) on the beach. The conference will provide continental breakfast and buffet lunches daily, plus a Gala Dinner and Award Ceremonies at the hotel Thursday night. If persons want to visit adjacent areas of the beach, ground transport about the immediate beach area is complimentary with the hotel shuttle. There are a few smaller restaurants in walking distance from the hotel.
Further travels and plans to visit Florida or the region will require driving. Dr. Otwell is very familiar with the area and region and can offer advice on routes, locations and tips for Orlando, Miami, Key West, Everglades or elsewhere. Email request to email@example.com .
DRESS and WEATHER:
The recommended dress is business casual for the entire conference. No need to bring suits, ties or high heels! You are directly on the beach and the seasonal temperatures can be pleasant (22-25°C). Bring a bathing suit, sunglasses and good attitude. The conference dress for all events will be business casual or comfortable, but you do have to wear shoes. The conference agenda is full, so plan to come early or stay late. The hotel has extended rates before and after the conference. Early morning and evenings walks are great on the beach and the Gala Dinner is planned as an outside, informal Florida event.
CASH and CURRENCY CONVERSION:
A convenient ATM machine is located in the hotel for US Dollars and banks are a short distance. The hotel may not accept certain checks without assurance of payment through a US bank. Customary travelers checks will be accepted for payment in US Dollars.
